What events can I hire the ice cream van for?

How do I book the ice cream van?

1. Carefully read the “package/price menu”, as the booking form will require you to specify the “package type” and the number of items/serves.

2. Click on the “BOOK VAN” tab, which is located on the “Home Page”.

3. Fill in the booking form, (if any questions or not sure, send an email to “whipitupicecream@outlook.com”).

4. Once form is completed, Click on the “SUBMIT” tab.

We’ll get back to you with availability and a quote within 24 hours.

How much does it cost to hire the ice cream van?

Pricing varies based on factors such as event duration, location, and the number of guests. Please contact us for a personalised quote.

What is the minimum amount of ice creams i can book?

The package/price page provides 4 different types of easy to read packages, select one of these which shall suit your guests and budget. The number of service/ice creams/items, start from 60 items and can increase to any number which suits your event.

Are the hot dogs/hot jam donuts/drinks/coffee/fairy floss/ popcorn/ also included in the package?

No, if you require to order any of these items, please request at time of booking. Also provide the number of items needed. Please add it to the “comments field” provided on the booking form.

Do you provide Vegan & Gluten Free ice creams I can book

Yes, we provide Gluten Free Single Cones, the Gelati is both vegan & gluten friendly.

On the “booking form” please provide the numbers needed.

Allergies
Please check if any of your guests have any allergies and advise at time of booking.
If ordering coffee/tea/hot chocolate, please provide Milk type required. 
Are there any additional costs?

All costs will be outlined in your quote. There are no hidden fees.

However, travel fees may apply for events outside our standard service area.

What payment methods do you accept?

We accept various payment methods including credit/debit cards, bank transfers, and PayPal.

A deposit is required to secure your booking, with the balance due on the day of the event.

Do you have any specific requirements for the event location?

The ice cream van requires a flat, solid surface for parking. We’ll also need access to electricity if your event lasts more than 3 hours.

The van requires a space of approximately 20 feet by 10 feet. Make sure there’s adequate clearance for the van to enter and exit the area.

How long does it take to set up?

We typically arrive 30-45 minutes before the start time to set up.

It takes about 15 minutes to pack up at the end of the event.

Do you have WWWC (Working with Children Card) & are you a registered food van?

Yes, and also registered with the local council, Foodtrader, and we also hold a Food & Safety Handling Certificate. We are Fully Insured with Public Liability.

Can I book an event at a local park or Council land?

No, you will need to have it approved with the local council by calling them and/or emailing them of your event details. Once the local council approves of your event via email, Whipitup ice cream can than go ahead and process your booking.

What happens once a booking has been submitted?
1.  You will receive a response via email within 24HRS, showing a confirmation and final costs/invoice. 
2.  Any there are any enquiries we have, you will be contacted to clarify, and or vise versa. 
3.  A deposit may be required of 50% (which is refundable). 
What happens if I need to cancel my booking?

Cancellations must be made at least 48 hours in advance for a full refund of your deposit. For cancellations made within 48 hours of the event, the deposit is non-refundable.
